Label sheets from a CSV file
Intermediate 8 min
Fill address labels, name badges or jar labels from spreadsheet rows, add a code to each label and match any label sheet by its measurements.
Mail merge without a word processor: Printshop reads rows from a CSV file and prints one label per row on a sheet of labels.
Choose the sheet
- Click Labels on the left (or press 5), or open the template Address labels.
- Under Sheet, open Sheet layout. The layouts are named by their measurements, for example A4 · 3 × 8 · 70 × 37 mm: paper size, columns × rows, label width × height. Find the measurements on your label package.
- If no layout matches, choose Custom measurements and enter the Columns, Rows, Label width (mm), Label height (mm), the Top margin (mm) and Left margin (mm) to the first label, and the Horizontal pitch (mm) and Vertical pitch (mm) — the distance from one label's edge to the same edge of the next. Tick Round labels for circles.
Load the data
Under Data (CSV) paste rows from a spreadsheet into CSV rows, first row with column names, or press Open CSV file…. A dialog shows the first rows; press Use for labels. Comma, semicolon and tab are detected automatically, and quoted fields may contain line breaks.
The hint under the field shows how many records and columns were found.
Write the label text
In Label text write what each label shows, with column names in curly braces:
{Name}
{Street}
{Postcode} {City}
The hint lists the columns you can use. A name that does not exist in the CSV stays as it is, and a warning names it. Set Font size (mm), Alignment and Inner padding (mm). If a text does not fit, it is cut and a warning says how many labels are affected — use a smaller font or fewer lines.
A code on every label
Under Code on each label choose QR code, Code 128 barcode or EAN-13 barcode and write the Code content, again with placeholders, for example https://example.com/item/{Id}. Every label gets its own code. Labels whose content cannot be encoded are printed without the code, and a warning tells you how many.
Printing
- Start at label number skips labels already used on a half-used sheet.
- Copies of each label repeats every row, for example four jar labels per jam.
- Draw label outlines prints thin outlines — for a test on plain paper.
Print one page on plain paper first, hold it against a label sheet in front of a window and check that the texts sit inside the labels. Then print at 100 % on the label sheet.
Privacy
Your CSV rows stay in this browser. Share links leave the rows out, so the receiver gets the layout and the label text but not your addresses.
